Scanning guidelines
As part of a request for new music you may choose to scan a score to send it to us.
The scan should be of suitable quality to ensure accuracy of transfer to a rehearsal file. Taking care at this stage ensures we can get a quicker turnaround for you.
You should use a flatbed scanner: photos taken by cameras, phones or tablets do not produce images of suitable quality. Specifically iScanner and Genius Scan are not suitable as it isn’t possible to hold the pages flat.
We can only accept scans of printed scores; hand-written scores are not suitable.
Preparing your score
Ensure the score is clean and markings are erased.
Do not use a copy that has been marked up with highlighter pen.
A copy that is damaged or has holes punched can obscure and degrade the scan and resulting rehearsal file.
Do not crop the white space around the music. There needs to be at least ½ inch (1.3 cm) of white space around the music.
Scanning
Ensure that the music is straight and flat to the glass;
Scan at original size, do not zoom or enlarge.
Scan all pages the right way up.
Include all of the music, and don’t miss out the bottom line or crop the edges.
Scan single pages only, even if the score is double paged (e.g. book or booklet)
If the piece is accompanied, the accompaniment must be visible as part of the scan.
For music still in copyright, we need to identify the publisher and date; these are usually at the bottom of the first page of music. Additionally you must have purchased a copy exclusively for the use of John Fletcher Music (more information here) .
If your scanner has a lid, lower it down carefully on to your original for each scan. If no lid, then hold the original flat onto the glass. This ensures the stave lines will be straight, and that light doesn’t creep onto the page.
Sending the file to John Fletcher Music
Scans should be all joined together into a single .pdf. Larger works can be separated into movements or sections.
Send the file(s) to email@johnfletchermusic.org. If a file is larger than 10MB you may need to send the file via online file transfer (e.g. WeTransfer.), Google Drive is not suitable. Do not compress the file to allow it to be emailed.
We reserve the right not to accept scans if they are not of suitable quality.
We will acknowledge receipt of a request to create rehearsal files, giving an estimated start date. We will let you know when we have prepared the files and uploaded them to the site.
